What you need first
  • Your sign-in link from StartFill.
  • Your products’ data: item number, name, barcode, weight; lot and best-before rules.

Steps

  1. Sign in and set your password and second step.
  2. Add your colleagues with the right role.
  3. Register your products and set the lot and best-before rules.
  4. Announce your first delivery and send the goods.

The portal in 14 minutes

All roles

A walk through the real screens: sign-in, products, deliveries, orders, stock, tracking and reports. English, with subtitles.

Recorded in October 2026.The portal has grown since: Amazon FBA shipments, choosing the StartFill SKU from a list, uploading many shipping labels at once, the address check and parcel alarms are not in the film yet. This guide describes them.

Account & team

Sign in and secure your account

All roles

What this helps you do: sign in for the first time, and every time after that.

What you need first
  • StartFill (or an owner of your account) has set you up with your e-mail address.

Steps

  1. Open stf.startfill.com/portal. Under First time here, or forgot your password? type your e-mail address and click Send link.
  2. Open the link (it works once, for 15 minutes). Set a password of at least 12 characters.
  3. Choose your second step: a code by e-mail or an authenticator app (Google Authenticator, Microsoft Authenticator, 1Password and similar). Enter the first code.
  4. Every later sign-in: e-mail, password, then the 6-digit code. Tick Trust this browser to skip the code on this computer for 30 days.
Common problems
  • Locked: five wrong tries lock the account for 15 minutes.
  • Signed out: after 30 minutes without activity. What you typed stays on the page; sign in again in a new tab and carry on.
  • No link: check the spelling and your spam folder; a new colleague must be added by an owner first.

Never send your password, a code or an API token to anyone, also not to us.

Team and roles

Owner only

What this helps you do: give colleagues their own access with the right rights.

Steps

  1. Account › Team › Add a colleague.
  2. Enter name, e-mail and role; tick Send the set-up link now.
  3. Switch someone off at any time: they are signed out at once.

  • Return page: see Return page for your buyers.
  • API access and webhook: see API and webhooks.
  • Alert settings: low-stock minimum per item and how early a lot leaving sale is announced: see Reports and alerts.

Products & deliveries

Register products

Staff and owners

What this helps you do: tell the warehouse which items you store, and how to receive and pick them. Their item number is your StartFill SKU, used in every order, delivery and file.

What you need first
  • Item number, name, EAN / GTIN, weight (g), units per case.
  • Outside the EU: customs tariff number and country of origin.
  • Whether the item has a lot number and a best-before date.

Steps

  1. Products › Register an item.
  2. Fill in the data and set the four rules (below).
  3. Click Register item.
RuleWhat it means
Track by lotEvery delivery names a lot number. Without it: no lots, no best-before check, no recall by lot.
Best-before date requiredEvery lot has a best-before date (includes lot tracking).
Minimum remaining shelf lifeOrders only get lots with at least this many days left.
Pull days before best-beforeA lot leaves sale this many days before its best-before date.
Common problems
  • Rules are locked while the item has stock. Set them before the first delivery; to change them later, ask us under Support.
  • Marketplace SKUs: do not register an Amazon seller SKU as an extra product: it would split your stock. Use your StartFill SKU.
Upload many items from a file

Products › Upload items from a file. Columns: sku, name, gtin, lot_tracked, mhd_required, min_remaining_shelf_days, pull_days, case_qty, weight_g, customs_tariff_no, origin_country, active. You see every change before anything is saved; rule changes must be confirmed.

Send stock to StartFill

Staff and owners

What this helps you do: announce a delivery so the warehouse can check and receive your goods.

What you need first
  • The products are registered.
  • Quantities in single units, not cartons.
  • Lot numbers and best-before dates where required, also printed on every carton.

Steps

  1. Open Deliveries › Announce a delivery.
  2. Enter your reference (the number on your delivery note, used once) and the expected arrival.
  3. Add each product from the list with its units, lot and best-before date.
  4. Click Announce delivery. It reaches us at once.
  5. Put the same reference on your delivery note.
What happens next🏭 StartFill checks the arrival against your announcement and stores it by lot and best-before date. Open differences stay Not sellable until clarified; you see them on the delivery.
Common problems
  • Not announced: a delivery without an announcement is normally not booked, and your goods wait.
  • Change an announcement: there is no button; contact Support with the delivery reference.
  • Different best-before for a known lot: the lot is held until clarified.
Packing-list file format

Deliveries › Upload a packing list. CSV columns reference, sku, qty, expected_at, lot_no, best_before, note; dates as YYYY-MM-DD or DD.MM.YYYY. Rows with the same reference become one delivery. You see a preview first; the same file twice creates nothing twice.

How we receive: pallet, carton or counted units

Pallet: one SKU per pallet. Carton: one SKU per carton. Counted units: mixed goods are counted unit by unit. Prices: pricing.

Orders

Every order is checked and reserved against your stock straight away, whichever way it comes in.

Create an order

Staff and owners

What this helps you do: send one order with the New order form, for example B2B or a sample.

What you need first
  • A new order number (each number is used once).
  • The complete address, with house number.
  • The items registered as products.

Steps

  1. Click New order in the top bar.
  2. Type your order number and the recipient: name, company, street and number, postal code, city, two-letter country code, e-mail / phone for the carrier.
  3. Choose each item from the list as its StartFill SKU, with the units.
  4. Shipping method: Let StartFill choose (recommended), a specific carrier, or I upload the shipping label myself.
  5. If stock is short: your account setting, Reject, Hold until stock arrives or Ship what we have.
  6. Optional note for the packer, then Send order.
What happens nextThe order is Accepted (stock reserved), On hold or Rejected at once. 🏭 StartFill picks, packs and ships it; you follow it under Orders.
Orders outside the EU (CH, GB, NO …)

Tick This order goes outside the EU customs territory and fill in currency, order value and, per line, value per unit, customs tariff number and origin country. Switzerland ships DAP (duties paid by the buyer). For DDP, upload your own label and customs documents.

Upload orders from a file

Staff and owners

What this helps you do: send many orders at once, from the StartFill CSV or the Amazon report of unshipped orders. You upload; STF checks the file, shows any problems and lets you fix them before anything is created.

What you need first
  • A CSV file (comma, semicolon or tab; UTF-8). Save Excel sheets as CSV first.
  • The SKUs in the file are your StartFill SKUs.

Steps

  1. Orders › Upload orders from a file; choose StartFill CSV or Amazon Seller Central (unshipped orders).
  2. Click Check the file. Nothing is created yet: every order shows as Ready, With a warning, Already there or With errors.
  3. For each faulty order: Fix it here, Keep for later (default) or Leave out.
  4. Confirm, for example Create 5, keep 1 for later.
What happens nextThe portal checks every order and gives you a report. The ready orders are created and reserved; orders kept for later wait under Needs fixing.
Common problems
  • Item not recognised: the SKU is not on your product list. Use your StartFill SKU; never register a marketplace SKU.
  • Same file twice: nothing is created twice; rejected orders are tried again.
  • Check expired: a check is valid for 30 minutes; upload the file again.
StartFill CSV columns and limits

One row per order line; rows with the same order_no are one order. Required: order_no, sku, qty, name, street, zip, city, country. Optional: company, street2, state, email, phone, channel, carrier + service, short_policy, buyer_note, customs columns (currency, order_value, unit_value, customs_tariff_no, origin_country …), label_file, tracking_no. Up to 5,000 rows, 2 MB and 500 orders per file. The template is in the portal.

Complete addresses

All roles

An order is accepted only with a complete address: for Germany, Austria and Switzerland a house number in the street (or street 2), and for Germany a 5-digit postal code.

  • Form and file check: incomplete addresses are shown in red.
  • Shop connection or API: the order waits under Needs fixing.
  • Small mistakes the carrier would reject are corrected before the label is printed; unclear ones are stopped and shown to you.

Fix an order

Staff and owners

What this helps you do: get a kept, held or rejected order moving again.

Steps

  1. Needs fixing: Orders › tab Needs fixing. The column “What is wrong” names the problem. Click Fix, correct it, then Create the order now.
  2. On hold, not enough stock: send stock; the order is accepted by itself when it arrives.
  3. On hold, no shipping rule: 🏭 StartFill’s next step: we set up the shipping method.
  4. Rejected: fix the cause, then send the order again with the same number.
Good to know
  • A kept order is not in the warehouse: no stock is reserved and nothing ships until you create it.
  • Kept orders are deleted 30 days after their last change.

Upload shipping labels

Staff and owners

What this helps you do: ship on labels you bought yourself, for example with Amazon Buy Shipping.

What you need first
  • Labels as PDF, PNG, JPG or ZPL, up to 10 MB, in A6 or 4×6 inch (A4 pages are refused; labels are never scaled).

Steps

  1. One order: choose I upload the shipping label myself; open the order, Upload shipping label, then Release to warehouse.
  2. Many orders: put KLBL in the carrier column (or tick All orders in this file ship on my own labels) and upload all label files after the check.
  3. Orders already waiting: Orders › Upload labels, choose the files, check the list, then Attach and release.
What happens nextSTF finds the order for each label and checks that the postal code and surname match. 👤 Your next step is done; 🏭 StartFill packs and ships with your label.
Common problems
  • Name or postcode on the label do not match: choose the order again to confirm.
  • A tracking number is already used: nothing is attached; check both labels.

Change or cancel an order

Staff and owners

What this helps you do: know an order’s status, and until when you can still change it.

Change the address

Until picking starts: open the order, Change address.

Cancel the order

Until the order is packed: Cancel order. After packing, press Ask StartFill about this order at once.

All roles
Before 12:00 (German time) on a working day = shipped the same daywhen the order is accepted (stock available, complete address), not waiting for your own label and not on hold (for example for missing customs data or a missing shipping rule). Later orders ship the next working day. It counts when the order reaches STF, not when the buyer ordered. Weekends and German public holidays are not working days.

Shipped means the carrier has scanned the parcel.

Tracking

Find tracking

All roles

What this helps you do: find the tracking number of one parcel, or of all of them.

Steps

  1. One order: open it under Orders and click the tracking number to open the carrier’s page. The search in the top bar also finds tracking numbers.
  2. All parcels: Reports › Tracking numbers › Show my shipments, then download the Tracking list (CSV).
  3. Amazon: download the ready Amazon confirmation file there and upload it in Seller Central under Orders › Upload order related files › Shipping confirmation.
What happens nextWith a shop connection or the API, the tracking number goes back to your shop or system on its own.

Parcel alarms

All roles

We follow parcels directly at the carrier (being switched on customer by customer). Alarms show on Home and in red in your Orders list.

API and webhooks

Owner only

What this helps you do: connect any shop, ERP or tool. The API follows the same rules as the portal.

Steps

  1. Account › API access › Create a token. It is shown once: keep it like a password.
  2. Optional: add a webhook (an HTTPS address) and choose its events.
  3. Ask us for the API documentation and a test connection.
What the API covers, and the webhook events

Products, stock (available units), orders (create, cancel, change address, release, documents), deliveries, returns and shipping methods. A request sent twice is never booked twice. Signed webhooks or an event feed; events include order.accepted, order.on_hold, order.rejected, order.cancelled, order.address_changed, order.released, shipment.dispatched, inbound.received, inbound.closed, return.received, lot.near_pull. After a long failure the webhook switches off and the page says why. Revoke a token you no longer use.

Amazon orders

Staff and owners
  1. Download the unshipped-orders report in Seller Central. Do not open and save it in Excel.
  2. Upload it under Orders › Upload orders from a file, format Amazon Seller Central. The SKUs must be your StartFill SKUs.
  3. After dispatch, download the Amazon confirmation file under Reports and upload it in Seller Central.

Send an Amazon FBA shipment

Staff and owners

What this helps you do: let us pick, label and pack your stock and send it to Amazon on Amazon’s labels.

Steps

  1. Amazon FBA › New FBA shipment: shipment number, how it travels (Amazon partnered UPS, your own carrier or freight on pallets), cartons or pallets, marketplace and transit days.
  2. Add the products (StartFill SKU, units, Amazon SKU, FNSKU, unit label), or Import the products from a file: CSV, Excel (.xlsx) or Amazon’s Send to Amazon file.
  3. Check shelf life: only lots with the shelf life Amazon needs on arrival are used. Then Create FBA shipment.
  4. When packed: Download carton list, enter the cartons in Send to Amazon and upload Amazon’s labels under Amazon labels.
  5. Freight: enter the forwarder and the freight reference.
What happens nextSTF matches every label to its carton; 🏭 StartFill attaches the labels and ships: Labels on the cartons, Ready to leave, Shipped.
Common problems
  • Not enough stock with the shelf life Amazon needs: send fresher stock or plan fewer units.
  • Enter full best-before dates in Send to Amazon; a month-only date shows one month early.
Unit label options and file import details

Unit label: StartFill prints and applies the FNSKU label, StartFill applies my ready-made labels, units arrive labelled or no label (manufacturer barcode); poly-bag and case-packed if needed. One carton holds one best-before date per SKU. File import: up to 2 MB and 300 lines; old .xls files are refused.

Stock & returns

Stock, lots and best-before dates

All roles

What this helps you do: understand your stock figures and why some units are not sellable.

FigureWhat it means
PhysicalEvery unit at StartFill.
Picked for ordersOn its way out (picked or packed, waiting for the carrier).
ReservedPromised to your accepted orders.
Not sellableBlocked, awaiting inspection, expired, past the pull date, below your minimum shelf life, best-before missing, or not yet put away.
AvailableWhat new orders can take; also the figure a connected shop can show.
  • Open an item to see its lots: best-before, the day it leaves sale, status and the reason if not sellable. Bin locations are not shown.
  • First expiry, first out: orders get the lot with the earliest best-before that still qualifies; shelf life is checked again on the day the parcel leaves.
  • Leaves sale: at best-before minus pull days, or when less than your minimum remaining shelf life is left, whichever comes first.

Announce a return

Staff and owners

What this helps you do: tell us a return is coming and what should happen with the goods.

Steps

  1. Returns › Announce a return: your reference, the order number and the items.
  2. Choose per item: Inspect first, Put back on sale (if your agreement allows it), Hold back (quarantine) or Dispose.
  3. Click Announce return.
What happens next🏭 StartFill receives and checks the goods; stock is booked only after the decision. The list shows what you asked for and what the warehouse did.

  2. Switch it on and give your buyers the link.
What happens nextBuyers enter the order number, postal code and last name, choose the items and get a return number.
Good to knowThe return page does not create a shipping label: your buyers send the parcel themselves.

Recall: where did this lot go?

All roles
  1. Recall in the menu: enter the SKU and the lot number, then Find lot.
  2. You see what was received, every order it shipped on with carrier and tracking, and what is still in stock. Print or download a CSV.

StartFill Help: the AI assistant in the portal

All roles
Being switched on customer by customer. When it is on for your account, a Help button appears in the top bar.

What you can ask

  • How do I do this in the portal?
  • What does this error mean, and what now?
  • Where is my parcel? It explains the last carrier scan, gives the tracking link and tells StartFill when a parcel is delayed.

What it does not do

  • It changes nothing in your account.
  • No prices, no legal or tax advice, no promised delivery dates.
  • It never shows other customers’ data or warehouse locations.

Frequently asked

Jump to: Orders & shipping · Stock & deliveries · Labels & addresses · Account & portal · How does my platform connect? · Help

Orders & shipping

When do my orders ship?

Orders that reach STF before 12:00 (German time) on a working day ship the same day, when they are accepted, not on hold and not waiting for your own label. Later ones ship the next working day.

When does an order count as shipped?

When the carrier has scanned the parcel. Until then a packed order shows In progress, and its units show as Picked for orders.

Where do I find my tracking numbers?

On each order under Orders, and all together under Reports › Tracking numbers, with a CSV export and the Amazon confirmation file.

Can I still change or cancel an order?

Change the address until picking starts; cancel until the order is packed. After that, ask us at once under Support.

Which carriers do you use?

DPD, DHL and FedEx, chosen per parcel by the shipping rules agreed with you. You can also ship on your own labels.

Do I have to upload a file every day?

Only if you send orders by file. A shop connection or the API sends orders on their own.

What if I upload the same file twice?

Nothing is created twice: orders that already exist are skipped. Rejected orders are tried again.

Can I edit the Amazon report before uploading it?

Please do not open and save it in Excel: that changes separators, dates and sometimes order numbers. Upload it as Amazon made it and fix problems in the check.

An item in my file was not recognised. Why?

That SKU is not on your product list. Use your StartFill SKU in the file. Register a new item only if it really is a new product, never a marketplace SKU.

Why is my order on hold or rejected?

On hold: not enough stock (it is accepted by itself when stock arrives) or no shipping rule for the destination (StartFill sets it up). Rejected: not enough stock and your setting says reject; send it again with the same number once the cause is fixed.

Stock & deliveries

What do I need to send stock?

Announce the delivery in the portal before it arrives, with quantities and, where required, lot and best-before dates, also printed on every carton. One SKU per pallet or carton, or mixed goods counted unit by unit.

What happens if a delivery arrives without an announcement?

It is normally not booked, and your goods wait until it is clarified. Always announce first.

Where do lot numbers and best-before dates come from?

From your delivery announcement and from the cartons at goods receipt. If they differ, or a date is missing, the units wait in inspection and you see it under Deliveries.

Why is Available lower than Physical?

Units that are reserved for accepted orders, already picked, or not sellable (blocked, awaiting inspection, too close to best-before) are not available. Open the item to see the reason per lot.

Can I see where my goods are stored?

No. You see your stock by item, lot and best-before date; bin locations stay internal.

Is my stock insured while it is with you?

No, we never insure customers’ goods. Your own goods insurance should cover stock at a third-party warehouse; check the wording with your insurer.

Can my customers send things back?

Yes. Announce the return, or switch on the return page for your buyers. You choose what happens to the goods.

Labels & addresses

Can I use my own shipping labels?

Yes, for example from Amazon Buy Shipping: PDF, PNG, JPG or ZPL in A6 or 4×6 inch, one at a time or many at once. STF checks that the postal code and surname match the order.

What happens if an address is incomplete?

The order is not accepted: for Germany, Austria and Switzerland a house number is needed, for Germany a 5-digit postal code. In the form and file check it shows in red; orders from a shop or the API wait under Needs fixing.

How do I ship outside the EU?

Tick outside the EU customs territory on the order and add currency, order value, value per unit, tariff number and origin country. Switzerland ships DAP; for DDP, upload your own label and customs documents.

Account & portal

Who in my team can do what?

Viewers read everything; staff also create orders, deliveries, products and returns; owners also manage the team, API access, settings and billing.

My account is locked or I was signed out. What now?

Five wrong tries lock the account for 15 minutes. After 30 minutes without activity you are signed out; what you typed stays on the page. Forgot your password: request a new link on the sign-in page.

Is the portal available in German?

Yes. Switch with DE | EN in the top bar; the portal remembers your choice.

Is there an AI assistant in the portal?

Yes: StartFill Help answers questions about the portal, error messages and your parcels. It is being switched on customer by customer; when it is on for you, a Help button appears in the top bar. More about StartFill Help

Do I still need the FFN portal, templates or plugins?

No. StartFill runs on STF, our own software. FFN, its templates and plugins are no longer used.

Is there a setup fee or a minimum volume?

No setup fee, no monthly fee, no minimum order and no long-term contract. Current prices are on the pricing page; your own statements are under Billing.

Do I need a LUCID registration before you ship for me?

Yes, and a dual-system licence; companies based outside Germany without a German branch that sell directly to end users in Germany also an authorised representative. See the LUCID guide.

How does my platform connect?

Shopify

Directly via our own Shopify connector, set up together with you. New orders reach STF on their own, cancellations in Shopify cancel the order in STF as long as it is not picked, and the tracking number and carrier go back to the Shopify order. Shopify Subscriptions, Recharge and bundles are handled; available stock can go back to Shopify if you want.

WooCommerce

With the StartFill WooCommerce plugin: install it, add an API token from your portal account, and we run a test order with you. Orders and cancellations go to STF, the tracking number goes back to WooCommerce, and available stock too if you want.

Amazon Seller Central

Upload the unshipped-orders report in the portal and, after dispatch, upload our ready Amazon confirmation file in Seller Central. Or connect Amazon directly via a third-party tool or our API, with your own Amazon API access.

Amazon FBA

Plan the FBA shipment in the portal (also from a file or Amazon’s Send to Amazon file). We pick, label and pack the cartons and send them to Amazon on Amazon’s labels.

eBay, Kaufland, Otto, Etsy

Through a multichannel tool you already use (for example Billbee or Plentymarkets) connected to our API, directly via our API, or by CSV upload. We can also build a direct connector for you.

Shopware, Magento / Adobe Commerce, PrestaShop, JTL-Shop, Gambio, OXID

Via our API: your developer, agency or a plugin sends the orders with an API token and receives tracking by webhook. Without any development: export your orders as CSV and upload them. A direct connector on request.

Billbee, Plentymarkets, Xentral, Afterbuy, JTL-Wawi and other ERPs

Via our API, set up together with your tool or developer: orders to STF, tracking and stock back. We help you set it up, and build a direct connector on request.

Wix, Squarespace, BigCommerce, Ecwid, Webflow

Export your orders as CSV and upload them in the portal, or connect through a multichannel tool or our API.

Zalando, bol, Allegro, Cdiscount, Galaxus, TikTok Shop, Temu

Through a multichannel tool connected to our API, directly via our API, or by CSV upload.

My own shop or ERP

Use our API: create a token in your portal account, and we send you the API documentation. Orders, stock, tracking and returns are covered; events arrive by webhook. Ask us for a free test connection first.

CRMs and automation (HubSpot, Salesforce, Zapier, Make, n8n)

Through our API and webhooks, for example with Zapier, Make or n8n.

B2B, phone orders and samples

Use the New order form in the portal for single orders, or upload a StartFill CSV for many.

My shop is not listed

Contact us: we connect it for you or develop a connector. Tell us which system you use and roughly how many orders you ship.

Can I test before going live?

Yes. Ask us for a free test connection: try your shop, ERP or script without touching real stock, parcels or invoices.

Can you connect my shop or marketplace?

Shopify and WooCommerce: directly via our connector. Other shops, marketplaces and ERPs: via our API or a third-party tool. See how each platform connects; if yours is not listed, we connect it for you or develop a connector.
